Alongside AdvisorsPrivacy

What you tell us stays with us.

This policy explains what information we collect, how we use it, the few circumstances in which we share it and the choices you have. It is written to be read, not skimmed past.

Who we are and what this covers

Alongside Advisors LLC ("Alongside," "we") is a private recovery advisory and support firm based in Delray Beach, Florida. We provide non-clinical services: private advisory, family advisory, intervention support, personal companions, private transport, recovery coaching, and admission and discharge planning. We are not a treatment provider, we do not give medical care and we do not bill health insurance.

This policy explains what information we collect through this website and in the course of our work, how we use it, when we share it and the choices you have. It applies to alongside-advisors.com and to the information clients, families and referral partners share with us by phone, text, email or in person.

The standard we hold ourselves to

Because we do not bill insurance and are not a health care provider, Alongside is generally not a "covered entity" under the federal Health Insurance Portability and Accountability Act (HIPAA). We have chosen to handle client information to a HIPAA-aligned standard anyway: we collect the minimum we need, we disclose it only with written authorization or where this policy says otherwise, and we protect it as described below.

When a treatment program or clinician engages us and asks us to sign a business associate agreement, we sign it, and for that engagement we are bound by HIPAA as their business associate in addition to this policy.

Nothing on this website creates a therapist-client or physician-patient relationship. Communications with Alongside are confidential as a matter of our policy and our agreements with you; they do not carry the legal privilege that attaches to communications with a licensed clinician or an attorney.

What we collect

Through the website. The consultation, referral and family office inquiry forms ask for your name, a way to reach you and, optionally, a short note; depending on the form, they may also ask for a good time to call, your organization and role, and whether you are writing for yourself or on behalf of a family you serve. We ask you not to include medical details in the note. The Work with us form asks prospective Advisors for their name, contact details, where they live, the roles and locations they are interested in, their professional background and credentials, their interests, and, only if they choose to share it, whether they are in recovery; those submissions are read only by the people who make our contractor decisions and are handled under this policy. The forms are processed and stored by our website host, Netlify, and each submission is emailed to our intake address, which is hosted by Google Workspace. The site does not use advertising cookies, tracking pixels or third-party analytics. Our host keeps ordinary server logs (IP address, browser type, pages requested) for security and operations.

When you call, text or email. We keep your contact details and the substance of the conversation so that the Advisor on your case can follow up. If we use a business phone service, call recordings are made only with notice to you and are not used for text messages or routine calls.

During an engagement. To do the work we may hold the client's contact details, schedule, travel arrangements, the names of the clinicians and programs involved, emergency contacts, the family members we are authorized to speak with, and information the client or the clinical team shares with us about the recovery plan. We hold only what the engagement requires. We do not hold clinical records; those stay with the clinicians who created them.

Payment. Invoices and payment records are kept as our accounting requires. If you pay by card, the card details are handled by our payment processor and are not stored by us.

How we use it

  • To respond to you and to arrange and provide the services you ask for.
  • To coordinate with the people the client has authorized us to speak with: the family members named in the client's agreement and the clinicians and programs named in signed releases.
  • To keep our own records of the engagement, invoice for our work and meet our legal and accounting obligations.
  • To operate and secure this website.

We do not sell personal information, we do not share it with advertisers and we do not use it for marketing to anyone other than the person who gave it to us.

When we share it

We share client information only in these circumstances:

  • With your written authorization, with the people and organizations you name, within the limits you set. You may narrow or revoke an authorization at any time by writing to us; revocation does not undo disclosures already made in reliance on it.
  • With the people who help us operate: our website host, email provider, phone service, payment processor and professional advisers. Each is bound by contract to protect the information and to use it only to provide its service to us.
  • To prevent serious harm. If we believe a client or another person is in imminent danger, we may contact emergency services, the client's emergency contact or the treating clinician.
  • When the law requires it: a court order, subpoena or other lawful process, or a mandatory reporting duty that applies to us concerning abuse or neglect of a child or vulnerable adult.

We do not disclose that someone is or was a client, to anyone, outside these circumstances. If a referral partner asks whether a particular person has engaged us, we will not confirm or deny it without the client's authorization.

How long we keep it

Website inquiries that do not lead to an engagement are deleted within twelve months. Engagement records are kept for the period our agreements, accounting obligations and any business associate agreement require, and are then securely deleted. You may ask us to delete your information sooner; we will do so unless a legal obligation requires us to keep it, and we will tell you if that is the case.

How we protect it

Client information is kept in access-controlled accounts with two-step verification, shared only with the Advisors working on the engagement, and transmitted over encrypted connections. Paper is kept to a minimum and secured. If a breach of security affects your personal information, we will notify you as Florida's Information Protection Act and any applicable business associate agreement require.

Your choices and rights

  • Ask what information we hold about you, and receive a copy.
  • Ask us to correct information that is inaccurate.
  • Ask us to delete your information, subject to the limits above.
  • Narrow or revoke any authorization you have given us to speak with others.
  • Ask that we contact you only in a particular way or at a particular number.

Write to intake@alongside-advisors.com. We respond within thirty days and do not charge for these requests.

Adults only

Alongside works with adults only. We do not accept clients under eighteen, and this website is not directed to children. If you believe someone under eighteen has sent us information through the site, write to us and we will delete it.

Changes to this policy

We may update this policy as our services or the law change. The effective date at the top of the page tells you when it was last revised, and the current version is always at alongside-advisors.com/privacy. If a change materially reduces the protection described here, we will tell current clients directly before it takes effect.
